Description
We are seeking a highly motivated individual to provide day-to-day administrative office support to our Newark, NJ team.
The ideal candidate will possess good organizational skills, have good oral and written communication skills, have excellent customer service skills, possess high level of integrity and professionalism. The ideal candidate will also have a high energy level and interest/enthusiasm along with strong interpersonal skills, will be a person who is self-motivated, comfortable collaborating within a team environment, and communicating with clients, vendors, and internally with all levels of management.
responsibilities
- Manage daily administration of our Newark office
- Manage incoming phone calls at front-desk
- Manage scheduling of meetings and interviews and arrange all details as needed, including web conferencing, and office conference room preparation
- Manage scheduling of travel arrangements and off-site itineraries
- Manage daily mail intake
- Process monthly accounts receivable and accounts payable
- Follow up on delinquent accounts as needed
- Manage vendor relationships
- Ensure all business documents are current, and stored appropriately
- Proofread and edit business documents as needed
- Assist with coordinating company outings and gatherings
- Assist with project management when needed
- Assist with the internship program
- Assist with maintaining office supplies and office decor
- Assist in company's marketing efforts as needed
- Assist with tracking new business leads and identifying potential sales leads through direct sales contact
- Assist with any special projects as needed
skills / qualifications
- College degree preferred, but not required
- Previous experience as an admin or exec assistant
- Strong typing, copyediting, and proofreading skills
- Excellent communication skills, organizational skills, and attention to detail
- Strong computer skills (Outlook, strong MS Office skills)
- Self-motivated problem solver who is able to work with limited supervision
- Ability to anticipate and resolve potential problems
- Upbeat and proactive with a can-do attitude
requirements
- All applicants must be legal to accept work in the US & must sign contracts, non-disclosure agreement and tax documentation
- Must have a minimum of three years verifiable work experience
- Must be willing to work at our Newark, NJ office for 40 hours per week
- Must disclose three professional references
- Must have Mac and/or PC computer skills
- Must be able to accurately type 60 words per minute or faster
- Must have a good working knowledge of the internet
